Does Gem Integrate With Greenhouse? Gem CRM and Greenhouse Sync Explained

3 min read

Yes. Gem has a native, bi-directional integration with Greenhouse and is a certified Greenhouse partner. Greenhouse stays the system of record for applications and interviews, and Gem adds sourcing, outreach, and a CRM layer on top — the same job an AI Talent CRM does for teams that want automated engagement. Candidates move between the two without re-entry. Gem says it integrates the same way with Lever, Workday, and iCIMS.

What the integration does

From Gem, recruiters can take common Greenhouse actions without switching tools:

  • Check for duplicates against candidates already in Greenhouse.
  • Upload a prospect to Greenhouse in one click, converting them to a candidate.
  • Set a stage, merge candidate records, or reject an application.
  • Log a note, call, text, or InMail to the Greenhouse activity feed.

Going the other way, Gem's CRM pulls Greenhouse data into its interface, so recruiters can see a candidate's current stage and last Greenhouse activity inside Gem. Talent Pipeline shows all active candidates in a Greenhouse job — including ones who never came through Gem — and Pipeline Analytics joins Greenhouse stages with Gem's outreach stages (send and reply) for one view from first message to offer.

Email sync

Gem can sync emails sent to prospects and candidates into the candidate's Greenhouse activity feed. It's off by default; Gem's Customer Success Manager or support team turns it on.

How fast data syncs

Most data syncs quickly, but not instantly. According to Gem's help centre:

  • Every 15–30 minutes: applications, offers, candidates (including merges), job changes, and deletions of interviews and scorecards.
  • Hourly: new or updated interviews and scorecards, job stages, and users.
  • Daily: user permission changes.

If something looks wrong in Gem right after a change in Greenhouse, it usually just hasn't synced yet.

Setup

  1. Set your Gem account's ATS to Greenhouse (Gem support can do this).
  2. Generate a Greenhouse Harvest API key and add it to Gem.
  3. If you use Talent Pipeline or Pipeline Analytics, set up webhooks in Greenhouse for Gem.

You can also bulk-import candidates from Greenhouse into Gem. Each import creates a Gem project you can rename and enrol in outreach sequences.

Why teams pair them

Greenhouse tracks people who apply. Gem focuses on people who haven't applied yet, plus past candidates worth re-engaging. Together they cover the funnel from sourcing to offer, as long as stages and tags are kept consistent in both.
