Does Workable Have a Talent Pool? Workables CRM Features Explained

3 min read

Yes. Workable has a built-in Talent Pool: a space that sits outside your jobs and holds candidates who don't fit a current opening but who you want to consider later. It is enabled by default on new accounts once you publish a job or turn on speculative applications, and you reach it from the bottom of the Jobs page. It covers the storage side of talent pooling well; the ongoing engagement side is where an AI Talent CRM usually takes over.

How candidates get into the Talent Pool

The Talent Pool has three views — All, Sourced, and Applied — that reflect where each person came from:

  • Sourced: people you upload yourself or add from Workable's AI-assisted People Search, where you can send a profile straight to the Talent Pool instead of a specific job.
  • Applied: speculative applications, where a candidate visits your careers page, finds no matching opening, and sends their resume anyway.
  • Referrals: account members can refer people into the pool directly.

One limitation surprises teams: you cannot move a candidate from a job into the Talent Pool. Workable designed the pool for people who never fit a posted job. For past applicants, the workaround is to save promising candidates and later filter the Candidates page by job, department, stage, and "Saved only" — searches include archived jobs.

Finding the right people later

A pool is only useful if you can search it. Workable supports this in a few ways:

  • Tags on candidate profiles, visible to the whole hiring team, which you can filter with AND/OR logic and exclude with boolean operators.
  • Advanced and boolean search across your full candidate database, including archived jobs.
  • Resurfacing: when you post a new job, Workable's AI can suggest strong past candidates from your existing database.
  • Ad hoc pools: search a job title on the Candidates page, select all results, and bookmark the filtered URL to return to the same list.

Access is configurable too. Admins can restrict the Talent Pool, and external recruiters only ever see the candidates they uploaded themselves.

Where it stops short

The Talent Pool stores and finds people well, but it is not a nurture engine. Keeping a pool warm — scheduled check-ins, personalised outreach when a matching role opens, and tracking who has engaged — still depends on recruiters remembering to act. Teams with a large pool of silver medalists or passive candidates often pair their ATS with CRM-style automation so re-engagement happens on a cadence rather than ad hoc.
