Hiring Freeze Email to Candidates: Templates for Paused Hiring

3 min read

A hiring freeze email to candidates should explain that hiring for the role is paused, say what happens to the current interview process and identify when you will next provide an update. If you do not know when hiring will resume, say so. A review date is a communication commitment, not a promise that the role will reopen.

These templates are for recruiters communicating a confirmed hiring pause. A delayed interview decision, a withdrawn role and a paused hiring process need different messages; check which situation actually applies before choosing the wording.

Template 1: Before the next interview

Subject: Hiring pause for [Role] at [Company]

Hi [First Name],

I am writing to let you know that hiring for the [Role] position at [Company] has been paused. As a result, we will not proceed with the interview scheduled for [date and time].

This is a change to our hiring plans, not a decision about your performance in the process. We do not currently have a confirmed date for resuming recruitment.

I will send you an update by [date], even if the pause remains in place. Please do not put other opportunities on hold while waiting for us.

Thank you for your interest and the time you have already invested.

Best, [Recruiter Name]

Only include the sentence about performance if it accurately describes the decision. Cancel the interview invitation and related reminders as well as sending this message.

Template 2: After substantial interview participation

Subject: An update on your [Role] interview process

Hi [First Name],

Thank you for the time you spent meeting with our team and completing [interview stage or exercise]. We have paused hiring for [Role], so we cannot move forward with the process at this time.

I recognize that you have invested considerable effort, and I am sorry that our plans have changed. [Brief, confirmed explanation you can share.]

There is no confirmed restart date. I will contact you by [date] with the status of the role. If you would prefer that we close your application or stop sending updates, please tell me.

Thank you again, [Recruiter Name]

For a finalist, consider a conversation before sending the written confirmation. Explain the actual status without asking them to remain available indefinitely.

Template 3: When the role genuinely reopens

Subject: [Role] recruitment has resumed at [Company]

Hi [First Name],

We previously paused the [Role] hiring process. Recruitment has now resumed, and I wanted to ask whether you would still be interested in discussing the position.

[Explain any confirmed changes to the responsibilities, working arrangement or interview steps.]

If you are interested, the next step would be [specific action]. I understand your circumstances may have changed, so please feel free to decline or ask for the updated details first.

Best, [Recruiter Name]

Reopening the role does not mean the candidate is still available or that earlier interview arrangements remain valid. Ask rather than assuming.

Keep the communication promise

Record the pause, the next update date and the person responsible for contacting the candidate. Stop active interview reminders. On the date you promised, send an update even if there is no new decision; explain whether the role is still paused, has reopened or has been withdrawn.

Perfectly Hired's AI Talent CRM supports follow-ups based on candidate status and timeline. During a hiring freeze, use that context to keep candidates informed without sending messages that imply recruitment is proceeding normally.
