How to Speed Up a Background Check for a New Hire

3 min read

A background check finishes when its slowest component finishes. Database searches return in minutes, but county court searches, employment and education verifications, and international checks can each add days. You can't make a courthouse move faster, but you can remove most of the delays that start on the employer's side. The checks are one stage in AI Candidate Evaluation; the steps below keep that stage from holding up a start date.

Where the time goes

Typical turnaround by component, according to screening providers' published guides:

Component Usual turnaround
SSN trace / identity Minutes
National criminal database Minutes to an hour
County criminal records 1–3 business days; longer where clerks search by hand
Employment verification Minutes (database) to 2–7 days (manual)
Education verification 1–5 business days
International checks 2 weeks or more

Most packages that include employment and education verification take three to five business days.

What employers can do

  1. Collect complete details at the start. Missing middle names, previous names, employer contact details or exact dates are among the most common causes of delay. Ask candidates to check every employment and education entry before you submit the order. A small mismatch can restart a component.
  2. Send the authorization immediately. Under the FCRA the check can't start until the candidate signs the disclosure and authorization. Send it with the conditional offer, not days later.
  3. Order only what the role needs. Each extra component adds a dependency. An international history or a ten-year employment verification is right for some roles and unnecessary for others.
  4. Tell the candidate what's coming. Candidates who know a previous employer will be contacted can warn HR or give a direct contact, which shortens verification.
  5. Choose a provider with direct court access. Providers that pull county records directly, or have researchers in manual-search counties, return results faster than those relying on slower routes.
  6. Watch the report, not the calendar. Most providers show which component is still open. If an employer verification has stalled, ask the candidate for a pay stub or W-2 as an alternative source, if your provider accepts one.

What you can't speed up

Manual-search county courts, unresponsive former employers and international records set their own pace. Plan start dates around the slowest component in the package rather than the average.
