Collecting availability for a panel interview takes more care than asking, "When are you free?" I want enough information to coordinate the candidate and several interviewers without creating a week of back-and-forth. My emails define the interview length, list realistic windows, ask for a time zone, and explain when the candidate will receive a confirmation.
Ask for a few windows
I avoid asking candidates to provide every available minute. Two or three windows across different days are usually easier to compare with the interview team's calendars. If the candidate is employed, I do not assume daytime flexibility. I offer early or late options when the team can genuinely support them.

Hi [Candidate Name],
We are ready to arrange the next interview for the [Role] position. It will be a [length]-minute panel conversation with [participants or functions].
Could you share two or three times that work for you during these windows? Please include your time zone.

Ask for availability with a scheduling link
A link can reduce email exchanges, but it should not expose every internal calendar detail or force a candidate into a narrow window. I explain what the link is for and give a direct alternative.

Please use this link to select a [length]-minute time for your [Role] panel interview: [Scheduling link]. The available times are shown in [time zone]. You will meet with [names or functions], and the conversation will take place by [format].
If the listed times do not work, reply with a few alternatives and I will coordinate manually. I will send the final participant list and preparation details after the time is booked.

Coordinate when the panel has limited availability
When interviewer calendars are tight, I tell the candidate what constraint exists without making the company's scheduling problem theirs.

Would either option work for you? The interview will last [length] and will be held by [format]. If neither is workable, please share the closest alternatives you can manage. I will look for another panel time rather than ask you to keep an open-ended hold.

Follow up when there is no response
I send one polite reminder with the original options and a clear way to decline or ask for more time.

If you remain interested, reply with the option that works best or send alternatives with your time zone. If your plans have changed, a quick note is helpful so I can close the scheduling hold.

After the candidate replies, I check the time against every required interviewer, confirm the correct calendar time zone, and send one final invitation. I do not treat an availability reply as a confirmed appointment. Confirmation happens only after the candidate and panel have the same details.
