A confirmation email turns a tentative scheduling exchange into a shared plan. I send one after the candidate selects a time, even when the calendar system sends an automatic notice. The candidate should not have to open several messages to learn who they will meet, how long the panel will last, or where to go.
Details to include
I use the following order because it puts the most important information first:
- Role and interview stage.
- Confirmed date, start time, end time, and time zone.
- Format and meeting link, phone number, or complete location.
- Participant names, titles, and what each person represents.
- Expected agenda and any preparation.
- Accessibility contact and recruiter contact information.
- A request to confirm or report a problem.
I do not list an interviewer as confirmed until that person has accepted the meeting. If the panel is still subject to a possible change, I say so and provide a reliable update point.

For a phone panel, I state who will call and which number will be used. If the candidate is expected to call, I make that instruction unmistakable.

My confirmation check
Before I send the message, I compare it with the calendar event and test the meeting link in a private window. I make sure the time zone is written out, not implied by an abbreviation that could be read differently. I also check whether any preparation request is actually necessary and whether the candidate has one named contact for last-minute questions.
The best confirmation email is boring in the right way. It gives the candidate confidence that the team is organized and lets everyone arrive ready for the same conversation.
