Panel Interview Follow-Up Email to Candidates: Recruiter Examples

The follow-up after a panel interview is where candidates often judge whether the process is organized and respectful. I send a note even when the team needs more time. It does not need to reveal confidential feedback, but it should acknowledge the conversation, state the current status, and give the candidate a realistic next update.

Thank-you and next-step template

Subject: Thank you for meeting with our [Role] panel

Hi [Candidate Name],

Thank you for meeting with [interviewer names] today about the [Role] position. I appreciate the time you spent discussing [specific topic from the conversation]. The team is reviewing the panel feedback now.

I expect to have a next-step update by [date]. I will contact you then, whether we are ready to move ahead or need additional time. Please reply if you have any questions in the meantime.

When the process is delayed

I do not use "just checking in" when I am the person who needs to provide the update. I explain that the timeline changed and set a new date I can meet.

Hi [Candidate Name],

I wanted to update you on the [Role] panel process. We need additional time to complete our review, so the decision is taking longer than the date I originally shared. I am sorry for the delay.

I will send your next update by [specific date]. The role remains under review, but I do not want you to read more into the delay than that. Please let me know if your availability or circumstances have changed.

If there is another step

The candidate should know why another conversation is needed and who will attend it. I avoid framing an unplanned extra interview as a test of endurance.

The panel enjoyed learning about your experience, and we would like to schedule a follow-up conversation with [name or function]. It will take approximately [length] and will focus on [topic that was not covered or needs clarification].

Could you meet at [options]? I will send a confirmation with the agenda and link once we select a time.

If the candidate is not moving forward

I keep the decision direct and avoid generic praise that conflicts with the outcome. If the company has an approved feedback policy, I use language that matches it.

Hi [Candidate Name],

Thank you for taking the time to meet with our panel about the [Role] position. We have decided not to move forward with your application for this role.

The team appreciated [specific strength, if appropriate]. We selected candidates whose experience more closely matched [role requirement or current need]. I know this is disappointing, and I appreciate the preparation you put into the process.

Thank you again for your interest in [Company].

My follow-up standard

I send the first note within one business day when possible. I record the promised update date in the applicant record and assign one owner, usually the recruiter. Before mentioning feedback, I confirm what the interview team has approved for sharing. I never forward raw panel notes to a candidate or speculate about a decision that has not been made.

A short follow-up is better than silence, but a specific follow-up is better than a status placeholder. The candidate should leave the message knowing what happened, what comes next, and when they will hear from me again.
