Panel Interview Reminder Email: Recruiter Templates

I use a panel interview reminder to remove uncertainty, not to repeat every line of the original invitation. Candidates often have several interviews in progress, and a panel includes more names, a longer time block, and sometimes a different format. A useful reminder puts the facts they need in one place and gives them a simple way to flag a problem.

What belongs in the reminder

My reminder includes the interview date, start time, end time, and time zone. I name each confirmed interviewer and include the person's role when that helps the candidate prepare. I also repeat the video link, office address, phone number, expected duration, and any specific preparation request. If the candidate needs to bring a portfolio or complete a short exercise, I say so plainly.

I do not add new requirements in a reminder unless I first discuss them with the candidate. A reminder is the wrong place to surprise someone with a presentation or assessment.

One-business-day reminder template

Subject: Reminder: [Role] panel interview on [Date]

Hi [Candidate Name],

This is a quick reminder that your panel interview for the [Role] position is scheduled for:

  • Date: [Day, Month Date]
  • Time: [Start time to end time] [Time zone]
  • Format: [Video, phone, or onsite]

Same-day reminder template

For a same-day reminder, I keep the message short. The candidate should be able to read it on a phone without searching through a long thread.

Hi [Candidate Name],

Your [Role] panel interview begins today at [Time] [Time zone] and is expected to end at [End time]. Please join here: [Link]. You will meet with [names].

If you have any trouble joining, reply to this email or call me at [phone number]. We look forward to speaking with you.

When a participant changes

If an interviewer changes, I send a clear update rather than letting the candidate discover the difference in the room. I name the replacement and explain whether the agenda remains the same.

Hi [Candidate Name],

One update before your panel interview on [Date]. [Original participant] is no longer able to join, so you will meet with [New participant, title] instead. The time, format, and discussion topics remain unchanged. The updated participant list is [list].

Please let me know if you have any questions before the interview.

My final check

I compare the reminder against the calendar event before sending it. The time zone, link, names, and duration must match exactly. I also check whether the invite is visible to the candidate and whether a conference link requires a passcode. If the process is delayed after the panel, I send a separate status note instead of allowing the reminder to become the last communication they receive.
