Panel Interview Reschedule Email: Templates for Recruiters

Rescheduling a panel interview is uncomfortable because the candidate may have rearranged work, travel, or another interview to attend. I try to make the change easy to understand and easy to answer. The message should say what changed, why a brief explanation is appropriate, what options are available, and what the candidate should do next.

If the company needs to move the interview

I lead with the action instead of burying it after a long apology. I use a short reason that is true without exposing private employee information or internal drama.

Subject: Request to reschedule your [Role] panel interview

Hi [Candidate Name],

I need to reschedule your panel interview for the [Role] position because [brief reason]. I am sorry for the inconvenience and for the change after you reserved the time.

Would either of these options work for you?

  • [Day, Month Date] at [Time] [Time zone]
  • [Day, Month Date] at [Time] [Time zone]

The interview will remain a [length]-minute [format] with [participants or functions]. If neither option works, please send a few times that suit you and I will coordinate with the panel.

If the panel needs more time

Sometimes the interview team cannot meet the expected timeline. I do not tell the candidate that the process is moving forward if that has not been decided. I explain that the schedule is changing and give a new update date.

Hi [Candidate Name],

I wanted to let you know that we need a little more time to complete the panel process for the [Role] position. I am sorry that this changes the timing we originally discussed. I will send you an update by [specific date] with the next step, even if the review is still in progress.

Thank you for your patience. Please let me know if your availability or situation has changed.

If the candidate asks to reschedule

I respond without making the candidate defend a reasonable scheduling conflict. I confirm the change and offer options that are actually available.

Hi [Candidate Name],

Thanks for letting me know. We can reschedule your panel interview. The following times are currently available:

  • [Option 2]
  • [Option 3]

Please tell me which works best, or send alternatives with your time zone. Once we confirm a time, I will send an updated calendar invitation with the participant list and meeting details.

After a second change

If a panel has already moved once, I acknowledge the repeated disruption and verify the team's commitment before asking the candidate to choose again.

Hi [Candidate Name],

I am sorry, but we need to move the panel interview again because [brief reason]. I understand that repeated changes are frustrating. I have confirmed that the interview team is available for the following times: [options]. Once you choose, I will send a final invitation and will notify you promptly if anything changes.

Details I never leave out

Every reschedule note includes the role, proposed date and time, time zone, format, duration, and the next action. I send a replacement calendar invitation and remove or update the old hold so the candidate does not have two competing events. I also check that the conference link and interviewer list are current.

I avoid vague phrases such as "something came up" when a clearer explanation is available, and I never imply that the candidate caused a company-initiated change. A direct, respectful reschedule email cannot undo the inconvenience, but it shows the candidate that their time is being treated seriously.
